Career Agent (Pty) Ltd ("Career Agent", "Company", "we", "our", or "us") respects your privacy and is committed to protecting your personal information. This Privacy Policy explains how we collect, use, disclose, store, transfer, and protect personal information when you access or use the Career Agent website, mobile applications, and related services (collectively, the "Services").

We process personal information in accordance with the Protection of Personal Information Act, 4 of 2013 ("POPIA"), applicable South African laws, and, where applicable, internationally recognized privacy standards. By accessing or using our Services, you acknowledge that you have read and understood this Privacy Policy.

2.1 Information you provide:

• CVs, resumes, cover letters, business plans
• Employment history, education, skills, certifications
• Profile preferences and career goals
• Uploaded documents (PDFs, images)

2.2 Sensitive and special processing:

• Voice recordings and transcripts (voice CV features)
• Application content and assessment data

2.3 Automatically collected data:

• IP address
• Usage logs and crash reports
• Cookies

2.4 Third-party sources:

We may receive data from employers, recruiters, scholarship providers, and authentication services such as Google and Apple Sign-In where permitted.

2.5 Payment Information:

Payments are processed by authorized third-party payment providers(Paystack and Apple Pay). Career Agent does not store complete payment card information on its systems.

• Provide CV creation and optimization services
• Match users with jobs and scholarships
• Submit applications on user request
• Perform ATS scoring and skills analysis
• Generate AI-based career insights and documents
• Authenticate users and secure accounts
• Improve and personalise Services
• Comply with legal obligations

4. AI and Automated Processing

Career Agent uses artificial intelligence to generate CVs, recommendations, and career insights. These outputs are assistive and do not constitute binding employment or professional advice.

Automated processing may influence recommendations, but final employment decisions are made by employers or users independently.

5. Sharing of Information

We do not sell personal information. We may share data only when necessary with:

• Employers and recruiters (job applications)
• Scholarship and education providers
• Cloud and infrastructure providers (e.g. Firebase, hosting services)
• Payment processors
• Legal authorities where required

6. International Data Transfers

Some service providers may process data outside South Africa. Where personal information is transferred internationally, Career Agent will take reasonable steps to ensure that such information receives an adequate level of protection consistent with POPIA and applicable laws.

7. Data Security

We use encryption, secure cloud infrastructure, access controls, monitoring systems, and authentication safeguards to protect personal information.

8. Data Retention

We retain data only as long as necessary for service delivery, legal compliance, dispute resolution, and security purposes. Data is then securely deleted or anonymised.

9. Account Deletion

Users may permanently delete their account at any time directly within the application under Settings → Delete Account.

Upon deletion, all associated personal data (including CVs, documents, profile data, and activity history) is permanently removed from our systems, except where retention is required by law.

13. Children’s Privacy

The Services are intended for users aged 18 and above. We do not knowingly collect personal information from minors without appropriate consent.

In the event of a data breach, we will take reasonable steps to contain the incident and notify affected users and regulators where required by law.
